Athletic Academic Advising Services

What we do 

Athletic Academic Advising is located in the Student Athlete Academic Success Center, which is housed in Gersten Pavilion, providing academic support for the 300+ student-athletes in 14 sports. The Student Athlete Academic Success Center includes an open study area, 2 conference rooms, multiple study rooms, computer lab, and offices for Athletic Academic advisors. The Athletic Academic advisors provide a variety of support, including but not limited to: 

  • Academic Monitoring 
  • Study Hall Tracking 
  • Academic Advising/Registration 
  • Tutorial Referral/Guidance 
  • Book Scholarship Support 
  • Progress Reports 
  • Academic Plan/Contract 
  • Travel Letter Support 
  • Campus Partners Collaboration

How to Request a Tutor Through Athletic Academic Advising (AAA) 

Student-athletes have access to one-on-one and/or small group tutoring through Athletic Academic Advising (AAA). Tutoring is provided by qualified undergraduate and graduate students on a weekly basis. Once scheduled, tutoring is mandatory for the entirety of the semester.  

To make a request, submit a Student-Athlete Tutor Request Form by the first Friday of the semester. Request Forms are sent via Lion Mail and Teamworks during the first week of school. Student-athletes will receive an email confirmation with their tutoring schedule, and sessions will also be added to their Teamworks calendar. Students will meet with their assigned tutor on the same day/time each week in the Athletic Academic Center starting in week three. Please email Emily Leon (Emily.Leon@lmu.edu) with any questions.  

Become a Student-Athlete Tutor 

Tutors are assigned a caseload of student-athletes and meet with them weekly. Sessions are either one-on-one or small group. Tutors assist with the comprehension of course material through a variety of means. Following each session, tutors submit a Study Hall Tracker Report that evaluates their student-athlete’s understanding of course material, provides suggestions for learning strategies, lists available grade information, and outlines upcoming assignments/exams. Tutors work 1-5 hours per week.  

Qualifications: 

  • B or above in course(s)
  • Thorough knowledge of subject matter and ability to explain concepts
  • Responsible, professional, and must have excellent communication skills

Student-Athlete Mixer & Orientation Overview 

During Orientation Week (the week before classes begin) first-year and transfer student-athletes are invited to participate in two key events designed to kickstart their LMU student-athlete journey both socially and academically. 

Student-Athlete Mixer 

Held early in the week, the Mixer is a fun event where new student-athletes can meet peers from across LMU Athletics. With games, music, and team-based activities, it’s a great way to break the ice, build community, and start forming connections before the semester officially begins. 

Student-Athlete Orientation 

This program helps first-year and transfer student-athletes navigate life at LMU. Students hear from a range of campus partners who share key resources, expectations, and tips for balancing academics and athletics. This session is essential to setting up students for long-term success at LMU. 

Incoming student-athletes should watch their LMU email closely in the weeks leading up to Orientation Week for specific dates, times, and next steps.

The Athletic Academic Advising Services standard for study hall is as follows:  

  • Study hall requirements for first-year and transfer student athletes vary based on each coach and advisor discretion 
  • Student-athletes below a 2.5 GPA in the previous semester is required to attend 4 hours per week.    
  • Student-Athletes on Academic Probation will be required to attend 8 hours per week.   

Official LMU Travel 
Students on official team travel will have a travel letter sent to their professors by their athletic academic advisor. It is the student’s responsibility to follow up with professors regarding missed class closer to competition travel dates. 

Outside LMU Travel 
Students pursuing outside competition must submit the ARMS Outside Competition Approval Form, which requires coaching staff and compliance approval. These students do not receive a travel letter, but if the travel is approved, their athletic academic advisor can assist with communication to professors. 

Travel Letter Protocol 

  • Missed class letters are sent via email, prior to the start of team competitions, to each affected student-athlete’s professor.  This letter includes all competitions that might affect class attendance.   In the letter, information is also provided to the professors in regard to the student’s responsibilities and potential for exam proctoring if necessary.   
  • Student-athletes are responsible for:  
    • Confirming with each of your professors that the professor received the email with the Missed class information (student-athlete is copied on the email).  Discuss any concerns the professor might have. 
    • Reviewing the course syllabus and missed class letter to see if there are any conflicts with missing class and exams/papers/projects. 
    • Reminding any affected professor, one week prior, if you will be missing their class due to competition or travel (dates/times are stated in the letter). 
    • Confering with their Athletic Academic Advisor in regard to any conflicts or need for proctoring of exams. 
  • If there is a conflict that requires an exam to be proctored, the student-athlete will have the affected professor contact their Athletic Academic Advisor who will send the professor the exam proctoring form with directions on how the exam will be proctored. 
  • At no point should a student-athlete request their professor to contact a coach and/or athletic department staff member. Additionally, at no point should a student-athlete request their coach and/or athletic department staff member contact a professor. 
  • If the professor requires the exam to be proctored while the student-athlete is traveling, only a full-staff member from the following approved groups can administer the exam.
